Cancellations and Refunds
• Any refunds initiated by the customer will be made minus the 2.75% plus £0.20 worldpay fees plus £3 admin fee per transaction. This is also applicable to refunds made for duplicate bookings. Please read the holiday club section or after-school club section for time specific details (below).
• Any refunds initiated by The Fresh Air Club will be refunded in full unless cancelled due to reasons of age (i.e. your child is over or underage for our clubs) in which case refunds will be made minus the 2.75% plus £0.20 worldpay fees and £3 admin fee per transaction.
Holiday Clubs (aged 7 – 11-year-olds)
Cancellations initiated by the customer:
• Up to 2 weeks prior to event: please email us at hello@thefreshairclub.co.uk to initiate the cancellation process, do not phone. Please include your booking reference number and specify the name of the child/children and date you wish to cancel. We will refund your payment minus the 2.75% plus £0.20 worldpay fees and £3 admin fee per transaction.
• Between 14 and 7 whole days prior to event: please email us at hello@thefreshairclub.co.uk to initiate the cancellation process, do not phone. Please include your booking reference number and specify the name of the child/children and date you wish to cancel. We will advertise the tickets(s) as soon as we are able to. If we can resell your ticket(s), we will refund your payment minus the 2.75% plus £0.20 worldpay fees and £3 admin fee per transaction. If we are unable to resell your ticket prior to the event, we will refund 50% of your original payment.
• Between 7 and 2 days prior to event: please let us know as soon as possible by emailing us at hello@thefreshairclub.co.uk to initiate the cancellation process, do not phone. We will advertise the ticket(s) as soon as we are able to. If we can resell your ticket(s) you will receive a refund paid minus 2.75% plus £0.20 worldpay fees and £3 admin fee per transaction. If we can not resell your ticket(s), you will not receive a refund.
• Under 48 hours prior to event: please let us know as soon as possible by emailing us at hello@thefreshairclub.co.uk to initiate the cancellation process, do not phone. We will do our best to advertise and resell your ticket(s) as soon as we can but this might not be immediate. Tickets are more challenging to sell if you cancel within 2 days of the event, please bear this in mind when cancelling. If we can not resell your ticket(s), you will not receive a refund. If we can resell your ticket(s) you will receive a refund paid minus 2.75% plus £0.20 worldpay fees and £3 admin fee per transaction. It is possible to transfer your ticket(s) to another child nominated by you, please email us at hello@thefreshairclub.co.uk with the name of the child and email address of the parent/guardian you wish to transfer the place(s) to.
• On the morning of the event: if your child is unwell or self-isolating and is unable to attend the holiday club no refunds can be given, however it is possible to transfer your ticket(s) to another child nominated by you, please email us at hello@thefreshairclub.co.uk with the name of the child you wish to transfer the place(s) to. We will collect information we need from the parent/guardian at drop off. It is your responsibility to ensure they have a copy of the event information which would have been emailed to you the previous day.
Please bear in mind we are a family run business who are based mostly outside and not always in front of our PC or available to speak on the phone. Will we advertise your ticket(s) on social media as soon as we are able to but this might not always be immediate. We will do our utmost to advertise on social media as quickly as we can if you have tickets to resell not only because we like to do the absolute best by our customers, but we know how much fun kids have at our clubs and we love a full house.
For customer-initiated cancellations: the admin fee is charged per transaction. To illustrate, the below examples would incur only one £3 admin charge:
Example 1: Cancelling 1 child for one club date
Example 2: Cancelling 1 child for multiple dates
Example 3: Cancelling 2 children for one club date booked in the same transaction
Example 4: Cancelling multiple children for multiple dates booked in the same transaction
Please note - only one refund transaction will be organised by the Fresh Air Club per £3 admin fee. Each additional refund will incur a £3 admin fee.

Other amendments/cancellations:
• In the event of a government-initiated lockdown, all customers with tickets for holiday clubs during the lockdown dates will be offered a full refund or option to transfer their ticket(s) to the next holiday club of their choosing. If transfer is chosen, the customer will have the option to choose which date they would like their child/children to attend before ticket bookings open.
• In the unlikely event that the Fresh Air Holiday Club can not go ahead outside due to extreme weather, we reserve the right to offer an alternative indoor venue and alternative activities.
• In the unlikely event that the Fresh Air Club has to cancel a holiday club due to any other reason initiated by us you will be offered a full refund or option to transfer their ticket to the next holiday club of your choosing. If transfer is chosen, you will have the option to choose which date you would like your child/children to attend before tickets open.
After-school clubs (Year 3 children – Year 6 children)
• After School Clubs are booked on a termly basis. Bookings can be cancelled and refunded up to 7 days before first session of the term begins. Please email us at hello@thefreshairclub.co.uk to initiate this process, please do not phone. Please include your booking reference number and specify the name of the child/children and school name. We will be in contact as soon as we can.
• All refunds initiated by the customer will be made minus the non-refundable 2.75% plus £0.20 worldpay fees plus £3 admin fee per transaction. This is also applicable to refunds made for duplicate bookings and cancellations due to under/overage children.
• If your child does not attend a session due to absences (ie such as school trips, holidays, doctor/dentist appointments, sicknesses, etc) we regret that we are unable to offer an alternative for missed sessions, or a refund
• We plan our sessions around inset days as much as possible and this will be reflected in the number of sessions in the term, however, unplanned school closure due to emergency problems ie heating, flooding, weather or strike action is beyond our control and therefore if we are not able to provide refunds for the session.
• In the event of a government-initiated lockdown, the weeks/clubs which have been cancelled due to the lockdown will be refunded in full.
• In the unlikely event that the Fresh Air Club has to cancel an after-school club, a full refund will be made for the session and no worldpay or admin charges will be applicable. For all other refunds, the 2.75% plus £0.20 worldpay fees is non-refundable.
